Bookings for members

As a member you can access Medicinska Föreningen’s rooms and equipment through Outlook calendar (replacing the former system called Your block).

You can book upward of 60 days ahead and at the bottom of this page you will find a quick reference guide and video on how to book a room/equipment via Outlook.

What do I need to book?
To be able to book, you need to be a member and have an Outlook email from Medicinska Föreningen. Every chairperson of each committee/sections/societies has an MF email and can book rooms and equipment. You can also get your personal email if you apply for it by filling out the form Application for access to networks and computers which can be found at the service desk and on the website.

A further prerequisite for being able to book Medicinska Föreningen’s rooms is that you clean after yourself, does not move out any furniture and such, and that you uphold the fire regulations regarding how many people that can dwell in the rooms you have booked.

How can I see when it’s free?
Each room/equipment has its own calendar and by importing the ones you use the most you can see how the availability of each room/equipment looks.

How do I book?
You need to be logged in to your MF email in order to book and then you can book directly in your Outlook calendar app or via Outlook on the web. When you have sent a booking request to the rooms that does not need approval from the premises manager, you will automatically receive an email if your booking has been accepted or rejected. For the other rooms/equipment, you will first receive a confirmation that the premises manager has got your booking request and that you will get a notification soon. If your booking request gets rejected it is due to the fact that it coincides with another booking or opening hours (for example the service desk). NOTE: You can find a Quick Reference Guide at the bottom of this page

How do I get access to the room/equipment that I have booked?
In order to enter Medicinska Föreningen’s rooms you need card access. To get this you need to be a member. These forms are available at the service desk both in Solna and Flemingsberg but also on the website – click here. Fill them out and do not forget to read the regulations that are attached to the application.

The membership administrator will arrange card access for you in Solna and/or Flemingsberg, usually within a week after you have submitted your application. If you aren’t a member you will receive an email about this. Then you have to pay the membership and contact the membership administrator. In Solna you can leave your application in the journal collector on the service desk or in the membership administrator’s post box. In Flemingsberg you can submit the application in the post box marked “To Solna” or scan it an email it to [email protected]

Access to rooms and equipment:

Usually, someone from the staff is on site in Solna, which makes it easy to access the rooms that are locked and the equipment that is locked in. However, if there is no one there, it may be good to know what is needed to access what.

You only need card access to enter the following:

  • The reception in Solna
  • The Committee floor in Solna
  • The piano room in the committeefloor in Solna

However, you may need to contact the treasurer or someone with a key (eg during evenings or weekends) if you have booked the following:

  • The treasurers office to get to the projector, camera, speaker or the Zettle-card readers in Solna
  • Fum-room (the Union Council room) in Solna

Therefore it is easier to send an email after you have received confirmation regarding your booking, to the treasurer and then you can set something up.
